Security & Privacy Training 2025

This episode: HMIS/DVIMS annual required training

It's that time of year again when we ask you to complete your annual Security & Privacy Training. For all HMIS/DVIMS users, this yearly training is mandatory to ensure the security of our systems and the privacy of our users.

The new 2025 class is now accessible through our Learning Management System (LMS) at icatraining.org.

Here's how it works:

  • Log in to icatraining.org

  • Click on the link for the appropriate class or simply paste the link in your browser if you are already logged into the LMS.

  • Link to HMIS Security & Privacy Training 2025 on the LMS

  • Link to DVIMS Security & Privacy Training 2025 on the LMS

  • Enroll in the class by clicking Enroll.

  • Watch the videos.

  • Achieve a perfect score of 100% on the quiz.

  • Watch the video on how to correctly complete the online user agreement paperwork.

  • Complete your online user agreement paperwork.

  • Voilà! You will have earned your Security & Privacy 2025 Certificate.

  • Make sure to inform your director/authorized signer that Formstack will be sending them your paperwork for their signature.

Please note that if you haven't completed the ICA Security & Privacy training by October 31, 2024, your account will be temporarily locked. Once you've successfully finished the training and paperwork, your account will be promptly unlocked.

In-Person Training

Monthly In-person New User Classes

The ICA Training Team is excited to announce the continuation of optional in-person HMIS New-User training. This is to fulfill the need for users who will benefit from learning the system with a more hands-on approach, while still using the online training videos as additional tools. Below are the current dates we have set up along with the locations in which the trainings are taking place. If you are the person at your agency that requests new user trainings, and think that you have staff that would benefit from an in-person training experience, please fill out the form below.

Please note that online training is still available as an option if this does not fit your staff’s needs. If it is decided that in-person training is the best option, each student only need to attend one session. Each attendee will need their own laptop. The classes fill up at 10 attendees each.

ICA publishes a monthly data update describing the key indicators and changes in the population experiencing housing instability in the Balance of State and Polk County. We share this information monthly, and hope this presentation is easy to understand for members of your community who don’t necessarily live in the data the way HMIS professionals and service providers do but are interested and motivated to learn.

In an effort to provide a better learning experience, we are incorporating a weekly "office hour" for anyone currently working on the new user ServicePoint (Community Services) test. This open Teams link will have a human on the other end every Thursday at 10:00AM . So, if you are a student struggling with their test or the system join us on Thursday mornings and be able to ask someone directly for help.

NHSDC Fall 2024 Conference Live Webcast – October 22-23, 2024

HUD and the National Homeless Services Data Consortium (NHSDC) are sponsoring a two-day conference titled "Harvesting Connections” in Portland, Oregon, from October 22-23, 2024. Registration is closed for in-person participation, however select live webcast sessions can be joined at the meeting time.

New Eva System Performance Analysis Features Now Available

Eva is a web-based tool that many Continuums of Care (CoCs) have been leveraging to assess the accuracy and completeness of their Homeless Management Information System (HMIS) data. Now, Eva can also help CoCs analyze their homeless response system performance.

The Eva team is introducing three new system performance charts. The following charts aim to help communities evaluate how effective their homeless response system is at housing people and understand the demographic makeup of people in their system.

  1. The System Flow Chart: Illustrates the inflow and outflow of the homeless system during the report period.

  2. The Client System Status Chart: Highlights the end-of-year status of clients active at the start of the report period.

  3. The System Demographics Chart: Shows the demographic makeup of the people in the homeless system.

These charts allow users to filter data based on specific client characteristics or enrollment details. For example, Hispanic/Latina/e/o Veteran Adults aged 18-44 in Adult Only households.

To protect client privacy, Eva suppresses any identifiable information in the system performance charts. This means that if displaying specific data could reveal the identity of individuals or small groups, that data will be hidden in the charts. However, users can still access all detailed information through the Excel exports.

Additionally, using Eva does not result in reporting or sharing data with HUD and use of Eva is not required by HUD.

SOAR Webinar: SOAR and HUD CoCs – Integration for Homeless Response System Improvement – October 24, 2024 – 3:00 PM EDT

HUD’s Continuum of Care Program is pivotal in addressing homelessness and housing instability across communities and states. The CoC Program requires a community-wide commitment to ending homelessness, which includes promoting access to and utilization of mainstream programs such as Social Security Disability Insurance (SSDI) and Supplemental Security Income (SSI) Outreach, Access, and Recovery (SOAR), which increases access to stabilizing income and health insurance for people with disabilities.

This webinar provides information on how to grow SOAR initiatives through connecting with HUD’s CoC systems, information from CoC and SOAR leaders who have successfully integrated SOAR into their Continuums of Care (CoCs), and a discussion on various collaboration strategies already in practice. This webinar will be helpful for SOAR providers and SOAR leads who are looking for more guidance on including CoCs in their SOAR initiatives.
