HMIS/DVIMS Users: New "Add a Client" Workflow

After the Data Standards Changes that have been made in the systems, some issues are arising where the demographic information filled when creating a new client (birthdate, sex, race, etc.) are not always populating on the client profile page. This issue stems from back-dating. Moving forward, there will be a new workflow when adding a new client to the system. Please note, this workflow should only be followed for entering a new client to the system. When working with clients already in the system, use the previous recommended workflows.

  1. Once on the "Client Search Page" Backdate to the client's entry/enrollment date BEFORE entering any client information

  2. Fill in all of the demographic information on client search page.

  3. Click "Add New Client With This Information" button

  4. Once on the client profile page, the system will prompt you to enter a new backdate, exit out of this pop-up, keeping the backdate you previously entered

  5. Enter your client's entry/enrollment as normal

Security & Privacy Training for 2026

Not a Clue- Security & Privacy Training 2026

It's that time of year again when we ask you to complete your annual Security & Privacy Training. For all HMIS/DVIMS users, this yearly training is mandatory to ensure the security of our systems and the privacy of our users.

The new 2026 class is now accessible through our Learning Management System (LMS) at icatraining.org.

Here's how it works:

  • Log in to icatraining.org

  • Click on the link for the appropriate class or simply paste the link in your browser if you are already logged into the LMS.

  • Link to HMIS Security & Privacy Training 2026 on the LMS

  • Link to DVIMS Security & Privacy Training 2026 on the LMS

  • Enroll in the class by clicking Enroll.

  • Watch the introduction video.

  • Watch the interactive video (the quiz is built in).

  • Watch the video on how to correctly complete the online user agreement paperwork.

  • Complete your online user agreement paperwork.

  • That's it! You will have earned your Security & Privacy 2026 Certificate.

  • Make sure to inform your director/authorized signer that Formstack will be sending them your paperwork for their signature.

Please note that if you haven't completed the ICA Security & Privacy training by November 17, 2025, your account will be temporarily locked. Once you've successfully finished the training and paperwork, your account will be promptly unlocked.

Annual PATH Report Submission Update & Key Dates

PATH PDX will be open this Friday, October 31, 2025, for report submissions. Please note that the PATH report submission deadline has been set and will be Friday, November 21, 2025.

For WellSky/ServicePoint users, you will need to generate and export your PATH report by following the step-by-step guide linked below:

PATH Data Exchange (PDX) Training
This webinar is open to State PATH Contacts and PATH Providers and will provide an overview of managing PDX users and completing, reviewing, and approving PATH Annual Reports in PDX. Live Spanish interpretation will be provided. The content of the two PDX training webinars will be identical, and providers are encouraged to attend the session that best fits their schedule. This webinar will be recorded.

SSVF Services Glitch

An issue has been identified in HMIS affecting the SSVF Workflow due to the Data Standards Changes. The SSVF Financial Assistance Start Date and End Date fields not displaying in Multiple Services. If a user creates SSVF Financial Assistance Service Transactions in Scans or Multiple Services, they cannot enter Financial Assistance Start Date or End Date responses.

The work-around that we have found that works until Wellsky can fix said issue, is that after creating the service, users will have to go back into the service using the "edit" pencil, and the financial assistance start dates and end dates should now populate, where they can be filled out.

DVIMS Data Standards Changes Issue

Currently the new "sex" field on the client search page  is not populating as it should. We have a ticket out to Wellsky about this, their development team is working on it. We appreciate your patience with this matter.

Data Standards Changes (DSC)Update

  • HMIS/DVIMS Updates: Beginning the morning of 10/1/2025, ICA and our software vendor (WellSky) will implement system changes in alignment with HUD’s anticipated 2026 Data Standards.

  • Official HUD Manual: Once HUD releases the official Data Standards Manual, ICA will notify all providers of any immediate changes via email.

  • Mandatory Part 2 Training: Within two weeks of HUD’s DSC manual release, ICA will host Part 2 of the DSC training. This session will serve as the official “users are trained” requirement.
